University Event Services

Florida Polytechnic University offers a wide variety of event spaces, classrooms, conference rooms, and outdoor venues to support the needs of students, faculty, staff, and non-affiliated guests. The Office of University Event Services (UES) is here to assist with planning, coordinating, and executing your event or meeting, so you can focus on your content and guests.

 

Planning an Event or Meeting

To ensure a successful event or meeting, please follow these steps.

If you are affiliated with the university and are looking to reserve space on campus for an internal meeting, please follow the internal meeting space reservation process through our Event Management System (EMS).

Meeting space can be reserved day of if the meeting does not require any services.

Meetings that require any services need to reserve space at least two weeks prior to the meeting date. Make sure to contact University Event Services to inform them that your meeting will require services once the space has been reserved. Failure to do so, may result in your services not being scheduled or completed for your meeting. 

If you do not have access to a particular meeting template or if you have any questions or concerns regarding your meeting, please contact University Event Services.

If you are affiliated with the university and are looking to host an event on campus, please fill out the Internal University Event Request Form

For events with less than 100 attendees, please submit your request form at least 30 calendar days before your preferred event date. Please allow up to two weeks for review and confirmation once your request form has been submitted. Once reviewed and confirmed, a University Event Services staff member will contact you to further discuss the details and logistics pertaining to your event.

For events with more than 100 attendees, please submit your request form at least 60 calendar days before your preferred event date. Please allow up to 30 calendar days for review and confirmation once your request form has been submitted. Once reviewed and confirmed, a University Event Services staff member will contact you to further discuss the details and logistics pertaining to your event.

Please contact University Event Services if you have any questions or concerns regarding your internal event.

If you are not affiliated with the university and are looking to host an event or meeting on campus, please contact University Event Services

For events or meetings with less than 100 attendees, please submit your request form at least 60 calendar days before your preferred event or meeting date. Please allow up to 60 calendar days for review and confirmation once your request form has been submitted. Once reviewed and confirmed, a University Event Services staff member will contact you to further discuss the details and logistics pertaining to your event or meeting.

Please contact University Event Services if you have any questions or concerns regarding your external event or meeting.

Student organizations and groups looking to reserve space on campus for meetings can do so by submitting a Meeting Space Request with the Office of Student Experience. 

If a student organization or group is interested in hosting an event on campus, please fill out the Internal University Event Request Form. In addition to this form, please make sure to complete the Event Registration Form with the Office of Student Experience. 

For events with less than 100 attendees, please submit your request form at least 30 calendar days before your preferred event date. Once reviewed and confirmed, a University Event Services staff member will contact you to further discuss the details and logistics pertaining to your event.

Tips for a Successful Event and Meeting

Florida Poly has a number of different calendars that contain important information for students, employees, and the community. Check the university event calendar to see what's already scheduled. If you would like your event included on the official university events calendar, submit a project ticket to Marketing.

If you would like assistance with promoting your event or meeting on campus or in the community, contact Marketing. Consider submitting information about your event to the Weekly Phoenix, on the website, in the mobile app, to the local media, etc. Marketing can also help you hire a photographer or videographer.

Events are required to be ADA compliant. When planning events, please think about the accessibility of signing up and/or participating in the event. Provide a process for requesting accommodation(s), may use ADA@floridapoly.edu for individuals to request accommodations. The ADA Coordinator is available to provide guidance and recommendations. The Department of Risk Management supports the university's on-campus and off-campus events. Events or meetings working with external vendors or having potentially hazardous activities taking place should reach out to the Department of Risk Management to ensure proper documentation is collected and procedures are followed.

Non-affiliated guests who are looking to host their event or meeting at Florida Poly are required to provide proof of insurance, however, the specific insurance types will be determined by the event and activities. Additional insurance requirements or changes to the limits will be assessed based on the type of event. Questions regarding Certificates of Insurance (COI) can be directed to the Department of Risk Management.
